Responsibilities:
Provide administrative support to the chief executive officer (CEO), the chief financial officer (CFO), and other accountants as needed.
Executive Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office.
They will be responsible for confidential and time sensitive information, supporting managers and employees through a variety of tasks related to organization and communication.
They must be deeply committed to completing tasks the right way with a high degree of quality and efficiency, attention to detail, and consistent communication.
The ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner is of the utmost importance.
Familiarity with a variety of the field's concepts, practices, and procedures is preferred.
Responsibilities:
Maintain the calendars and schedules including setting and confirming appointments.
Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating and facilitating calls, video conferences, and meeting Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans.
Prepare reports by collecting and analyzing information.
Coordinate with managers and/or the team to ensure that documents provided are prepared and routed properly and that these materials are ready for final review and signature.
Manage time-sensitive work products appropriately.
Manage frequent travel arrangements as needed.
This task includes compilation of trip agendas, directions, confirmation of hotel reservations, method of transportation, meetings and participants, and upon return, ensuring that travel receipts and expenditures are reconciled to complete travel reimbursements.
Qualifications:
Bachelor's degree or equivalent experience with 5 or more years of experience in association or executive-level administration Passion for customer service including solid experience taking excellent care of internal and external customers/members Ability to prioritize and multitask Outstanding organizational skills and attention to detail Experience working with highly confidential information Experience managing multiple complex projects with multiple details and tight deadlines Excellent writing, editing, and proofreading skills Embraces office technologies with excellent computer skills including proficiency in Microsoft PowerPoint, Microsoft Word, Microsoft Excel, and an association management system or sales database Willingness to assist other members of the team with other projects and duties as assigned Experience in accounting preferred.
Experience in real estate development a huge plus.
