We are looking for a responsible and experienced (5
years) Executive Personal Assistant to be the right hand to a busy executive.
The right person for the job shall be capable of wearing many hats and provide support in both personal and professional levels in a well-organized and timely manner.
Must be discrete, trustworthy, have a can do attitude, and is a competent multi-tasker possessing a drive to handle all projects with tact, diplomacy and precision.
Personal Assistant Job
Responsibilities:
Direct support as the go-to person for all needs, including both home and office projects Daily day-to-day operations and administration, calendar management, travel schedules, project coordination, delivering presentations, answering calls, etc.
Is a spokesperson for the CEO on all matters.
Coordinates projects by capturing timelines and strategies and delivering progress updates.
Prepares meeting rooms for appointments, coordinates schedules, and greet customers and clients prior to meetings.
Plans events Creates weekly meeting agendas and keeps, prepares, and distributes minutes of meetings.
Coordinates deliveries and shipping Runs personal errands, including driving dogs to appointments, meeting workmen at CEO's home, ensuring CEO's vehicle is cleaned regularly and maintained, and bills are paid Track all ongoing projects and provide timely updates Take food orders for meetings, pick up, and distribute Handle Green Apple personal time requests Personal shopping and gift support; handle Venmo payments Keep track of and submit all work receipts and personal receipts Track Green Apple contracts Personal Assistant Qualifications / Skills:
Proven ability to manage a flexible schedule Exemplary planning and time management skills Outstanding verbal and written communications skills Excellent critical thinking and problem-solving skills Ability to interact with clients and executives Demonstrate a high degree of integrity, loyalty and security measures regarding all confidential matters Must be extremely detail oriented and highly organized Proficient in Apple/Mac, PC (MS Office Programs:
Word, Excel, PowerPoint, etc.
) Ability to work under pressure Have a reliable vehicle with a valid driver's license and a good driving record Must love dogs and children Strong availability, occasional travel Candidate must be flexible with their schedule and be comfortable handling last minute requests depending on the day, they may need to work 8-10 hours a day and occasional weekends.
